ACC Requests

CKSII HOA is a Covenant-Protected Community

The Protective Covenants establish both the Architectural Control Committee (ACC) and the requirement for improvements of property to first be approved by the committee. 


In general, any improvement to the exterior of your home or to your property that is visible to the public requires the approval of the Architectural Control Committee.


*All Homes within CKSII Sections 1,2 and 3 are required to submit ACC Requests (even if you are a non-member). 


**Please plan accordingly and assume your request could take up to 30 days to receive a response from the committee.


Project Specific Guides 

To help speed up the review process, the ACC committee has created “Project Guides” for common projects which outline community guidelines and recommendations. These documents will help homeowners understand details that are needed for approval.

ACC Recommendations

The Architectural Control Committee recommends all projects be designed with compatibility of the existing home, fences, and neighbor in mind; construction materials should match those used on the home. The intention is to promote harmonious living and preserve the intended design of the community. All projects must adhere to Jefferson County’s Building and Zoning Codes.


ACC Approval Request 

The fastest route to submitting a new ACC request is to click the ACC Request “Online” button and complete the web form. The architecture committee is made up of volunteers from the community. They only have so much time available to provide this service to the HOA. Please plan accordingly and assume your request could take up to 30 days to receive a response from the committee. Thank you for your understanding.


Request Form

Please provide details about your project; this information will allow the ACC review process to move quickly. The Homeowner is responsible for providing samples, drawings, pictures, site plans, and other documentation as requested by the ACC. 

  1. Project Description: Clearly state the type of project, materials, length, width, height, color of paint, roofing material, decking, stone, plantings, stone, etc. 
  2. Site Plan: For some projects you will need to provide a bird’s -eye view (site map) of the intended project. Please include any existing structures (home, fence, deck, pathway, etc.) in your drawing and clearly display the intended measurements with the distance from fence line, home, or any other structure in the vicinity. 
  3. Design/Links: Please provide a photo of your home and weblink/ documents of the planned project design.


Note: If multiple improvements are being requested, each improvement requires a separate form. Do not combine multiple improvements on a single form. The form will not be accepted.


Submitting Options

  1. Electronically submit the online form.  Enter your house number and zip code to access the form.  Please fill out all sections of the form, attach any electronic project documents (plans, sketches, samples, product brochures etc.) and sign the form. In the event you don't have your project documents in digital format or need to follow up with your samples see options 2-4.
  2. Email the completed PDF form and/or digital samples to atillotson@keystonepacific.com
  3. Mail a copy of the completed printed PDF form with sample materials to: Keystone Denver Property Management, c/o Columbine Knolls South II HOA, 2851 S Parker Rd Suite 840, Aurora, CO  80014. 
  4. Personally deliver your completed printed PDF form with sample materials to a CKSII HOA meeting or by appointment to Keystone Denver Property Management 2851 S Parker Rd Suite 840 Aurora, CO 80014.  Please contact Keystone Denver at 303.369.0800 to arrange this or send an email to atillotson@keystonepacific.com.


Submitting Sample and Other Information for Your Improvement

Gather and submit your samples along with your request. For many improvements, it is necessary to provide samples or plans in order for the ACC to evaluate your request.  This is true whether your form is submitted electronically, in person or through mail.


Some of the items to include are paint chips, sample building materials, building and landscape plans, fence layout, plans or brochures for proposed structures, etc.  In general, include anything that you think will help the ACC with its evaluation of your improvement. PLEASE NOTE: Samples are normally not returned. 


If your samples are in electronic form such as brochures, color samples, etc., they can be attached to the electronic form in the Project Documents box or be sent through email with the ACC Approval Request form. These same items can be printed and submitted with your form via U.S. Mail.


If the sample or plan information cannot be emailed or sent through U.S. Mail because of size, those items can be dropped off to the ACC.  Please email  the ACC Committee at cksiihoaacc@gmail.com. They will be glad to help!

 

What Happens After Submitting the Form and Samples?

Once the ACC Approval Request form and any necessary samples or plans are received, the ACC will process your request for approval.  If additional information is needed, the ACC will place your request on hold and contact you for that information and may request to meet with you, should more detailed discussion be necessary.  The 30-day time clock will not restart until the committee has all the information necessary to make an informed decision on your request.

You will receive notice of the ACC decision either by email or through U.S. Mail within 30 days after all necessary samples/plans have been provided.  If time is an issue, the ACC may notify you by phone.  You will still receive written notification.

Click the ACC Request-PDF Version button on this page and then download/save the form to your device.  Do not attempt to complete the form online using your browser.

Completing the PDF Form

The form is a fillable PDF and requires a PDF reader.  The most common reader is the free Adobe Acrobat Reader. Click the PDF Reader Download button.

It is highly recommended to fill in the form electronically.  This method is faster, makes the form much easier to read and allows you to sign and submit the form via email to the ACC, right from the form. 

Note: If the fillable fields are not highlighted on the form after you download it, you need to change a setting on Acrobat Reader.  To do so, click Edit, Preferences and Forms and check the ‘Highlight Color’ field, then click OK.
